REQUIREMENTS RESPONSIBILITIES AND DUTIES:
Provide back-up assistance in answering the telephone and door.
Provide information and answer questions to the general public, vendors, and referral sources that fall within scope of job responsibilities.
Refer calls to the appropriate individual if unable to assist the caller.
Receive visitors and contact staff of arrival.
Provide clerical support for the corporate business office.
Filing.
Scanning and copying of financial data, deposits, and A/P related documents.
Prepare FedEx packages and schedule them for pick up.
Various clerical tasks as directed.
Provide back-up assistance in arranging Administration meetings as requested.
Assist in the coordination of meetings, including coordinating schedules, reserving conference rooms, obtaining necessary materials, set up of the room, coordinating refreshments (ordering and delivery) and clean up as requested.
Provide back-up assistance in maintaining office and kitchen supplies at appropriate levels.
Monitor supply levels to ensure availability as needed.
Order supplies online and/or pick up or schedule with appropriate office staff.
Maintain a high level of customer satisfaction.
Resolve any complaints within scope of job responsibilities in a prompt and professional manner.
Maintain positive relationships with community members, vendors, referral sources and staff.
Maintain excellent communication with staff and management team.
Mail/Deposits Provide courier services for managed entities.
Pick up mail and open/sort by company.
Prepare deposits for each company.
Prepare deposit by separating checks from back-up (EOBs).
Process deposits by e-deposits or prepare for bank deposit.
Provide back-up assistance by working closely with property management staff to schedule and follow up on maintenance requests for all managed companies.
Cross-train to provide assistance and coverage for the Administrative Assistant position if/as requested/required.
Other duties as assigned.
Duties may not be assigned all inclusively or equally.
SPECIAL REQUIREMENTS:
This position is subject to random drug testing.
SKILLS AND ABILITIES REQUIREMENTS:
Prior administrative support experience in an office setting required.
Ability to handle multiple assignments at the same time with moderate supervision.
Above average customer service and written communication skills required.
Computer skills, including knowledge of Excel, Word, and Outlook.
Possess good problem-solving skills.
Ability to establish goals and monitor progress against goals.
Must have reliable transportation for use during work hours.
Employee must possess a valid driver's license.
Must be 18 years of age or older, with a clean driving record.
Must take and successfully pass a pre-employment drug test, as well as at random, reasonable suspicion and post-accident drug and alcohol tests.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
